Key Responsibilities
• Executive Support & Calendar Management
• Manage complex calendars, schedule meetings & calls, and coordinate appointments across multiple time zones.
• Handle various personal assistant tasks (bookings, enquiries, etc.), ensuring smooth day-to-day operations.
• Assist with administrative duties, including payment processing, expense tracking, and budgeting.
• Social Media Management
• Manage engaging content (podcasts, newsletters, reels/posts, etc.) for platforms such as Instagram, LinkedIn, and our longevity blog.
• Set-up and maintain a content studio for producing and editing video snippets.
• Edit and produce videos showcasing our projects and initiatives.
• Manage and grow our social media presence, particularly focusing on the project.
• Engage with our online community, fostering relationships and expanding our audience.
• Project Coordination
• Coordinate logistics and manage relationships with strategic partners (yacht management company, sponsors, suppliers, guides, etc.)
• Assist in passenger management for, ensuring exceptional experiences for our guests.
• Coordinate media relations for interviews, etc.
• Act as a liaison for yacht management and other exclusive travel services.
• Real Estate Management
• Oversee Airbnb properties, managing listings, bookings, and guest communications.
• Collaborate with real estate agencies to manage property-related matters.
• Coordinate maintenance, renovations, and property improvements, with local agencies.
• Family Office Support
• Provide administrative support for family office activities.
• Manage personal and business-related tasks with discretion and efficiency.
Qualifications
• Experience: similar role for a minimum of two consecutive years is a must for applying to this position.
• Hands-on Mentality: Ability to work independently, take initiative, and be proactive.
• Highly Flexible: Willingness to adapt to changing priorities and to accommodate varying schedules in different time zones. Happy to operate independently as well as to “think outside the box”.
• Organized and Detail-Oriented: Exceptional and efficient organizational skills, with the ability to multitask effectively and to independently decide on priorities while offering considered opinions when needed.
• Proactive and Adaptable: Willingness to "muck in" is essential. Able to switch from business to personal support with ease.
• Social Media Enthusiast: Passionate about social media, with experience in content creation, video editing, and community engagement.
• Technical Skills: Proficient in video editing software and comfortable setting up a content studio, as well as savvy with office software, emails, websites, etc.
• Excellent Communicator and Negotiator: Strong verbal and written communication skills in both English and German; ability to negotiate diplomatically with a friendly attitude.
• Interpersonal Skills: Professional and friendly demeanour with the ability to build strong, lasting relationships with high-profile individuals.
• Interest in Learning: A general enthusiasm for learning about longevity, startups, and our various investment areas.
