Administrative Support

Schedule and Calendar Management: Arrange and coordinate meetings, ensuring efficient time management.
Meeting Preparation: Prepare agendas, materials, and presentations for meetings; take detailed meeting notes and disseminate information promptly.
Communications Management: Assist in managing email and phone communications, ensuring timely and professional responses.
Organizational Support: Draft verification and visa letters, respond to information requests, and handle other administrative tasks as needed.
Database Management: Orient new contacts to the digital database, provide basic IT support, assist with communication updates, and manage banking details.
Must have the ability to research international banking protocols to verify the accuracy of provided information.
Story Collection and Development: Gather inspiring stories and craft compelling narratives to share with stakeholders.
Data Collection and Reporting: Compile and prepare data for donor presentations, reports, and other documentation.
Travel Coordination: Research and book flights, accommodations, and transportation according to organizational needs.
Required Qualifications

Education and Experience:

At least Associate's degree or higher in business administration, communications, or a related field preferred.
Minimum 2 years of experience in an administrative support or similar role.
Skills and Abilities:

Excellent written and verbal communication skills, including professional email etiquette.
Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with database management systems.
Attention to detail and accuracy in preparing documents and managing data.
Ability to handle confidential information with discretion and professionalism.
Problem-solving skills, particularly in researching and verifying international banking information.
Basic IT troubleshooting skills related to database and software use.
Interpersonal Skills: high proficiency in English is a must. Knowledge of a 2nd language is a plus.
Strong interpersonal and teamwork abilities, with the capability to work effectively in diverse, multicultural environments.
Customer service orientation with a proactive approach to supporting colleagues and stakeholders.
Other Requirements:

Familiarity with international travel arrangements and visa requirements is a plus.
Flexibility to adapt to changing priorities and deadlines.
